Use of Personal Information

Personal information is defined as any information relating to a natural person that allows them to be identified directly or indirectly.

Professional information, such as your job title, business address, business email address, or business phone number, is not considered personal information under the law.

Consent

The AQLPH (Association québécoise pour le loisir des personnes handicapées) may reasonably assume that consent to use personal information collected for one or more specific purposes has been given clearly, freely, and with full knowledge when:

  • You have provided verbal or written consent to the collection and use of personal information;
  • You have voluntarily provided your personal information.

AQLPH may also collect and use your personal information without your consent, in accordance with legal provisions.

AQLPH does not knowingly collect personal information directly from minors under the age of fourteen (14). If personal information collected pertains to a person under 14, authorization from the parent or legal guardian will be required, except where the law provides an exemption.

What Personal Information Do We Collect and Why?

AQLPH only collects, holds, uses, or discloses personal information with your consent and solely for the purposes listed below, unless required or permitted otherwise by law. For any other use, your consent will be requested.

We collect personal information through paper and electronic forms, digital communication tools, and interaction with the platforms we use. We also use cookies and/or logs as outlined in the section titled “Cookies on the Website.”

The personal information we collect is only that which is necessary to provide our services and carry out our activities, such as:

  • To communicate with AQLPH: First name, last name, email address, and phone number.
  • When browsing our website: Certain information is automatically collected to enhance your user experience. See the section on cookies below.

Personal information is stored in a secure environment and, as much as possible, on controlled servers located in Quebec. We take reasonable steps to ensure your information is adequately protected in accordance with this policy.

However, our service providers may store information on servers located outside Canada, subject to the laws of that country. In such cases, we take reasonable steps to ensure adequate protection.

Additionally:

  • All personal data submitted through our website is encrypted, ensuring it cannot be intercepted and remains confidential.

Once your consent is withdrawn or expires, we may still retain your personal data (without using it) based on a retention schedule compliant with laws and our operational needs.

We do not share your personal information with third parties, except those mentioned above, unless we have your consent.

Access, Rectification, Objection, and Withdrawal Rights

We are committed to providing rights of access, objection, and withdrawal regarding your personal data.

Access and Rectification: You can request to view or correct inaccurate personal information.

Objection: You may refuse the use of your personal data for specific purposes. However, this could prevent us from offering some services or assessing your requests properly.

Withdrawal: You may request your personal data be removed from mailing lists, etc.

AQLPH will acknowledge receipt within five (5) business days and respond within thirty (30) days. If denied, the responsible individual will explain the reasons.

  • Reason for the complaint

All complaints are confidential. AQLPH will acknowledge receipt within five (5) business days and respond within thirty (30) days.
